Planning for us consists of three steps: Before and during… When we organize these two stages, the ‘after’ for us only means to be happy with your satisfaction.

When we say details it’s about calculating the distance from the airport to the hotel and then to the sports complex where the competition will be held. Estimating the obstacles that the athletes may face during travel. To fine-tune the spaces that the team will accommodate. It’s about knowing how many bottles of water an athlete must drink and how much ice a masseur will need to cure sore muscles.

Steps before the operation...

Exploring the city

We start by exploring the destination city. We determine suitable hotels by checking the distances between the airport, the stadium, and the hotel. Depending on the budget, we visit4-5 star hotels one by one.

We do our research

We know that needs vary from club to club. Some teams want to be close to the sports complex. Some want to stay in the most prestigious hotel in the city. In summary, it is necessary to know the team and its needs.

Details and beyond

It's not enough for hotels to have available rooms! Having a dining room and a meeting room exclusive to the team is also mandatory. We also check if there is a noisy organization at the hotel at the time of the stay.

Check, check, check...

We check if hotel can close floors for the players, the speed of the internet, the condition of the beds in the rooms, availibility for a coffee break point on the floors, the proximity of the restaurant and the meeting room... We also check the isolation of the hotel from the crowd, the size of the lobby, the equipment in the meeting room...

More checks and report

More controls are done on the towels, ice and water for the massage and therapy rooms. Spa, fitness possibilities, an open-air area, and the speed of laundry service are checked... All these detailed informations are all collected and reported to the person in charge with a presentation supported with visuals.

Final budget

After the hotel is selected, the budget is revised and optimized again. Depending on the travel plan of the team, separate programs can be held for sponsors, journalists, fans, managers, and guests, upon demand.

Further adjustments

In the time between the selection of the hotels and the start of the operation, the menus, names and programs are expected from the team. These will be delivered to the hotel for preparations and all possible questions will be answered.​

Last touches

Finally, the number of vehicles to be used in the operation is determined. Cars are selected and distribution is organized. After the hourly transfer table is prepared, the pre-operation preparations are completed.

And during the operation...

The finest details are calculated and planned. We make sure that athletes reach their rooms fast and with no fuss…

The journey begins with pre-prepared boarding passes. Extra counters are organized for fast check-in if necessary. With the hotel entrance cards delivered at the landing area, it is accelerated that the athletes are withdrawn to their rooms as soon as possible.

Once all the squads are lodged, we follow up on the program and supervise if it goes according. The meals, rest areas and lobby are checked continuously. One of our team stays in constant contact with the hotel for instant requests.

Transportation to the stadium on the match day, delivery of the match meal to the locker room, going back to the airport at the end of the game and to the plane afterward…  We make sure that you are happy when we say goodbye…
